Program Manager Position

The Program Manager will have operational responsibility in all program areas: direct service, family communications and administration. The position will be a part of the program and operations team, reporting to the Director of Programs and the Chief Administrative Officer. Program Manager will oversee the part-time weekend program facilitators and security. The Program Manager’s primary responsibility will be ensuring the quality and consistency of program delivery. The Program Manager will schedule and coordinate program staff and program partners for all programs. This individual will also manage general inquiries and family correspondence (questions, concerns, payments) regarding programs. Additionally, the Program Manager will manage and oversee the volunteer program—on-boarding and training new volunteers, tracking the volunteer schedule and overseeing volunteer appreciation.

RESPONSIBILITIES

Program Management:

  • Liaise with partner organizations and/or arts teachers to ensure that specific program requirements are met

  • Disseminate logistical information to other members of the programs team

  • Manage and oversee the collection of program evaluations

  • Onboard, schedule and oversee volunteers

  • Manage security and weekend staff

Communications:

  • Manage registration and RSVP process for all programs

  • Assume responsibility for all communications with families, including email reminders, follow-ups, referrals, and general inquiries

  • Collaborate with Communications Coordinator to appropriately promote family programs

  • Assume responsibility for office voicemail and mail, and dissemination to the appropriate team member

Administration:

  • Submit and track program permits at our public host schools

  • Develop and maintain relationships with the school facilities teams and staff

  • Monitor supply usage and submit purchase orders as needed

  • Ensure that all equipment is in working order and alert Administration when repairs are in order

  • Produce weekly database audits

  • Manage and oversee cleaning service

  • Meet regularly with Program Director and Chief Administrative Officer

QUALIFICATIONS

This is a heavily administrative position and all candidates should have demonstrated leadership and relationship management experience as well as the ability to manage multiple initiatives and projects that support the delivery of high quality programs. Ability to speak Spanish is strongly desirable as it facilitates communication with many of those we serve. A familiarity with the Bronx is an added benefit as we plan to open a site there in 2019. Connection to the world of disability or disenfranchised populations is a plus, specifically project management experience in this area.

We will be looking for candidates who...

  • have experience in coordinating programs or projects from beginning to end and/or managing operations for an organization or long-term project

  • have strong written and verbal communication skills

  • have working knowledge of Microsoft Office and Google Applications

  • will work collaboratively and effectively with internal as well as external partners and other organizations, and should be able to function both independently and in collaboration with diverse groups of people

  • will be able to work one weekend day per week

  • are comfortable traveling between Brooklyn and Queens locations

  • This position is a full-time position and is exempt from FLSA
